Dear Devotees
The nomination deadline is now past, and we have received few nominations both via email and handed over in person.
As we indicated in our earlier messages, there are five BOT vacancies for three years each; two BOD vacancies for three years each and two BOG vacancies for three years each.
We received seven qualified nominations for BOT, three qualified nominations for BOD and one qualified nomination for BOG.
Two of the BOT candidates and one BOD candidate subsequently withdrew their nominations leaving us with five BOT nominations and two BOD nominations.
Since the number of nominations are equal to or less than the available positions there will no elections and all the candidates are considered elected.

Congratulations to all the members that are now elected to the respective boards. The NEC would like to thank all the nominees that considered serving the HTS and cultural center and subsequently withdrew their nominations.

ABSENTEE BALLOT PROCESS

Dear Devotees: 

We admire the enthusiasm among the members. We have received several absentee ballot requests even before nominations are out. Considering past experiences, the NEC would like to make the following improvements to the absentee ballot process. These changes will minimize issues and improve participation of members in the election process. We would like to use email as a preferred mode for exchange of information. This enhanced communication will ensure the process is seamless despite the additional burden on the NEC. It is also important to maintain privacy of all participants in the election process. Any one-on-one communication with the members is strictly confidential.

In the event we have an election and you are requesting absentee ballots here are the following instructions.

  1. We encourage all absentee ballots requests to come to us via email. The request should contain the following information.
    1. Indicate membership type (family or individual)
    2. Number of ballots requested
    3. Full first name and last name of persons requesting the ballot
    4. Full address of the requestee.
  2. Absentee ballots will be emailed as a pdf file to the requestors.
  3. Each request will be linked to a unique identification number (UIN). Please do not share this with anyone else. We will send you the UIN in the body of the email. Any future mass correspondence will only use the UIN. Please check your SPAM folder in case you do not see the email in your inbox.
  4. The NEC will also send out a mass communication once the absentee ballots have been emailed just so you know you should have received an email from us. If you still not received the absentee ballot and the UIN email (or accidentally deleted it) please let us know and we can send another email.
  5. Once you have made your choices in the ballot, please put the ballot in an envelope, affix a postage stamp and mail the ballot to the following address. Please ensure the Unique Identification number is entered on the top of the envelope. Please do not use your name or address anywhere in the envelope. The envelope will look something like this.

  1. Please mail us back the ballot as soon as possible to make sure we receive it on time. Once you have mailed your envelope, please send us an email so we know we should be receiving your ballot.
  2. We will post the UIN of all the ballots received on the temple website. It is your responsibility to make sure you check the temple website for the UIN of ballots we have received. If you have mailed the ballots and we have not received it by November 6th, please mail us the ballot again. However, email us to let us know that you have mailed the ballot a second time. This will ensure we consider only one ballot in case we receive both.
  3. If you do not email us and we receive two ballots, we will invalidate both.
  4. The NEC will not make any concessions during election day for members that have requested absentee ballots.

    • Date certified member list is available by: October 04, 2019 (a preliminary list will be posted on the temple website by the end of September)2
    • Date NEC will accept nominations in person at the DVD desk: October 11 & 12, 2019 between 7pm – 9pm.
    • Date by which nomination should be received by NEC: October 12, 2019
    • Date by which request for an absentee ballot should be received by NEC: October 16, 20193 
    • Date by which candidates can withdraw their nomination: October 18, 2019
    • Suggested date for absentee ballots to be mailed to voting members: October 27, 2019
    • Date by which absentee ballot should be received by NEC: November 10, 2019 
    • Election Date: November 17, 2019 from 1:00pm – 3:00pm

Dear Devotees:

We are pleased to announce the following vacancies.

BOT (Board of Trustees): Five for a term of Three Years each

BOG (Board of Governors): Two for a term of three years each

BOD (Board of Directors of HCC): Two for a term of three years each

Elections will be held to fill the vacancies based on the number of nominations received. We are looking for devotees who are interested in filling these vacancies and contributing to the temple and HCC management. The rules for the elections as well the election nomination form and absentee ballot request form are attached for your convenience. Please feel free to share this information with other devotees and temple members. It is in the interest of the members to participate in the election process since BOTs and BOGs play a vital role in governing the affairs of the temple and BODs in the governing of HCC. Dear Devotees,

Hope you all had a wonderful summer. With November fast approaching, it is time we initiate the

election process. We will follow the regular protocol for nomination and election for the BOT, BOD and

the BOG but we also want to learn from past issues we have had. This year we will be making

improvements to the absentee ballot process with regards to accountability. We will communicate the

improvements in our future messages.

Election documents will be available soon on the temple web-site at www.albanyhindutemple.org. Please

feel free to share this information with other devotees and temple members. It is in the interest of the

members to participate in the election process since BOTs and BOGs play a vital role in governing the

affairs of the temple and BODs in the governing of HCC. Through this election, temple members will

elect BOTs, BOGs and BODs.

You can mail your nomination form by US Postal Service to HTS NEC 2019, PO Box 5488, Albany, NY

12205-5488. Alternately, you can email the scanned nomination form with signatures to Kirthivasan

Nagarajan at [email protected]m before the deadline as well. You can also submit your

nomination form in the main temple in person to a NEC member on the following dates mentioned below.

Please note that in light of past experiences we request you not to drop the nomination form in the hundi.
